Areas need ongoing maintenance but answer to no deadline, and Resources are topics you care about with nothing due. Everything inactive drops into Archive, out of sight but still recoverable.

This maps onto student life almost exactly. You have short-term assignments, long-running subjects you maintain across years, reference material you collect on the side, and old coursework you might need again. A filing system built on that same shape stops fighting you, because you’re not translating your actual work into someone else’s categories.

Breaking Down the Four Categories

Projects are groups of tasks linked to a common goal. A semester exam, a research paper, a coding assignment: each has a deadline and a finish line. That boundary is what makes projects useful, since inside one you know precisely which material matters this week.

Areas are spheres of activity or responsibility you maintain over time, with no single goal attached. Mathematics, history, biology as ongoing subjects are areas, and so are broader commitments like health or professional development. They carry across semesters and years without ever being finished.

Resources are topics or themes of ongoing interest: research subjects, hobbies, tools you’re learning, skills you want to build gradually. They sit dormant more often than areas do, waking up when curiosity hits or when a project suddenly needs them.

Archive is where finished work goes without being destroyed. A completed project or an area that stopped mattering moves here, hidden from daily view but intact. Three years from now, if you need those notes, they’re waiting.

How to Apply PARA to Your Study Notes

Start by asking one question of every note you write: is this tied to a specific deadline, or does it belong to something ongoing? Notes for next month’s midterm go under a project. Background knowledge on a subject you’ll study for years belongs to an area or a resource. That single sorting decision, made at write time, is what makes retrieval fast later.

Labels should be boring and consistent. “Fall 2024 History Midterm” for a project, “Biology” or “Computer Science” for an area, “Machine Learning Concepts” or “Interview Prep” for a resource. Nobody grades your naming scheme, so pick something you’ll type the same way at 2am and move on.

When you’re deep in a project (cramming for a midterm, drafting a paper), pull everything relevant under that project’s label, including the area and resource notes you’re borrowing. That temporary grouping does real work for you. You’re assembling context around a goal instead of stacking isolated facts.

Maintaining PARA Over Time

At the end of each semester, walk your projects. Anything finished moves to Archive, along with any area that stopped being part of your life. This sounds like busywork, and it isn’t: archiving a project is a decision that says the work is done and those forty notes no longer need your attention.

Resources that still matter stay exactly where they are. Come back to them next term and they’re organized the way you left them, ready to attach to whatever project needs them. The ones you never open drift to Archive on the next review, which is fine.

What you get out of this is a workspace showing only current work. No scrolling past last year’s chemistry notes to reach this week’s reading. The clutter still exists, it just isn’t in front of you.

Turning Organized Notes into Retained Knowledge

Here’s where PARA runs out of road. A perfectly sorted note is still a note you read once and forgot, and no folder structure has ever made anything stick in your memory. You still have to build the flashcards, write the practice questions, and remember to come back to biology three weeks after the lecture, all by hand, on top of the coursework itself.
