Organize: Sort what you captured with the PARA framework: Projects, Areas, Resources, Archives. Sort by how actionable something is, not by topic. Active work stays in reach while finished material moves out of the way.

Distill: Boil each note down to its core insight. Highlight the passages that matter, write a one-line summary, push the rest to the background. This is where signal separates from noise.

Express: Turn notes into something real. Write the article, ship the project, teach the idea to someone else. Expression is the point of the whole system, the reason you captured anything at all.

Capture and Organize are mechanical, and any decent tool handles them. Distill and Express need you, since no tool writes your insight or produces your work for you.

Organizing With PARA: Actionability Over Topics

PARA lists your notes by how ready they are to act on: Projects, Areas, Resources, Archives.

Projects are active work with a deadline. This is where your highest-value notes live, so most of your attention belongs here.

Areas are ongoing responsibilities with no finish line: health, finances, relationships, skills. They move slower than projects and rarely feel urgent.

Resources are reference material on things you care about, with no deadline attached. Think article clippings, how-to guides, an inspiration board.

Archives hold completed projects and areas you’ve stepped away from. Store them rather than delete, since storage costs almost nothing and archived notes stay out of your way without disappearing.

The reason to order by actionability is simple: value concentrates in projects, following the familiar 80/20 pattern. Structure barely matters for finding things, because search handles roughly 90% of retrieval and folders only cover the last 10%. Keep projects visible, and let search do the rest.

Retrieving Notes Without a Review Schedule

Most people assume a second brain means daily review. Forte runs his the opposite way. He keeps no regular review routine at all, which sets his system apart from memorization methods like spaced repetition.

Retrieve notes just-in-time instead, at the exact moment a project turns actionable. When you start a design project, pull up your old design research. Interviewing a candidate tomorrow means searching your notes on interview patterns first. Matching retrieval to need beats grinding through everything on a fixed schedule.

Search carries most of the load here. As long as your notes are readable and contain the terms you’ll later search for, you’ll surface them when you need them. The folder hierarchy matters far less than people expect.

Real Numbers Behind a Working Second Brain

Forte has used Evernote for about 10 years and built up roughly 7,000 notes, averaging two a day. None of that came from a weekend sprint. It accumulated slowly and sustainably across a decade of ordinary use.

After a month you’ll know whether the habit actually holds, and only then does it make sense to add structure.

Where Spaced Repetition Fits: Turning Notes Into Active Recall

Forte’s system is excellent at storage and retrieval, and it leaves exactly one gap: active memorization. When you need to recall a note’s contents on demand, without stopping to search, storage alone won’t get you there. That is the job spaced repetition does.
